Inventory Migration Support
We’re glad to have you on Cohart. As part of our paid plans, Team Cohart offers hands-on inventory migration support to help move your existing artworks onto the platform accurately and efficiently. This service is designed to save you time and ensure your listings are structured, consistent, and collector-ready.
Please note: Migration requests are handled in the order they’re received. Depending on inventory size and format, timelines may vary.

Inventory migration support is available on Cohart Paid Plans. Migration support and inventory storage limits vary by plan:
Basic Plan

What to Expect
Once you send us your materials in a migration-friendly format, our team will:
- Review your files
- Create structured listings in Cohart
- Upload images and details
- Flag any missing or unclear information during the migration
What We Need From You
At minimum, each artwork listing should include:
- Title
- Image
- Dimensions
- Availability (For Sale, Sold, or Inquire)
- Price (if for sale — can be hidden publicly)
- Year created (we’ll use the current year if unknown)
Optional: Description, medium, materials, previously sold pieces, or other details.
Image Quality Guidelines
For best collector-facing results, we recommend original or high-resolution images with:
- JPG or PNG files
- At least 2000px on the longest side
- Under 25MB per file
- Clear, well-lit images with minimal background distractions
Estimated timelines
- Spreadsheet-based migrations (platform-compatible format): ~15 days or less
- Exports from other platforms: ~21 days or less
- PDFs / websites / folders (limited scope): 3+ weeks
How to Share Your Inventory With Us
We support several formats. We’ll always recommend the option that’s fastest and most accurate.
Option 1: Cohart Spreadsheet (Preferred)
Use our system-compatible template to organize your listings. This allows for the most efficient and accurate migration.

Estimated timeline: 15 days or less
Option 2: Export From Another Platform
If you use a tool like Artlogic, Arternal, or another inventory system, you can export your inventory as a spreadsheet and share it with us.
Image organization guidelines:
- Single artist:
- Label image files with artwork titles
- Multiple images → place in a folder named after the artwork
- Multiple artists:
- One folder per artist
- One subfolder per artwork
- Multiple images per artwork inside that folder
Estimated timeline: Up to 21+ days, depending on format and platform
Other Formats (Limited Support)
If your inventory exists as PDFs, folders, custom documents, or a website, let us know — we’re happy to review and advise on feasibility.
Important to note: Website or PDF-based inventories are not recommended for migration whenever possible. These formats require fully manual setup (screenshotting images and re-writing listing details). This process takes longer than using structured files like spreadsheets and may result in lower image quality or limited formatting consistency.
For this reason, website and PDF migrations are supported only in limited scope:
- Inventory limit: 50.
- Timeline: 3+ weeks, depending on format.
